Scheduling for real estate brokerages with AI

A brokerage has a quiet scheduling problem: floor duty rotations, conference room bookings, open house calendars, trainings and new agent onboarding. AI can take requests by text or email, check them against everyone’s availability, and confirm or propose a new time so the office manager does not have to.

The small calendars add up

Who covers the phones Thursday? Is the conference room free for a signing? Is the training on Tuesday or Wednesday? Each is a minor question, but together they eat the office manager’s day.

Handle requests where people already are

Agents text and email. They will not use a new portal unless it saves them time. A system that reads a message like “can I use the big room Friday at 3?” and replies with a yes or a better time fits how they already work.

The office manager approves the exceptions.

Onboarding is a schedule too

A new agent needs accounts, training, a photo, a bio and a signed agreement, in an order. A checklist that tracks itself and nudges the right person is less stressful than a sticky note.

Examples of what it can look like in a real estate brokerage. Illustrations, not clients.

An agent texts for the conference room Friday afternoon. The room is booked, so the system offers the other room or a different hour.

Two agents want the same open house slot at a popular listing. The system sees both and asks the listing agent to choose.

A new agent starts Monday. By Friday, the checklist shows that her headshot and website bio are the only items missing.

Questions

Does it replace a front desk?

It can take over the scheduling part. People still matter for everything that needs warmth or judgment.

Which calendar does it use?

Google or Outlook calendars, the ones your agents already have.
