Scheduling and makeups for tutoring centers

Tutoring schedules are a puzzle: each student wants the same few after-school hours, tutors have limits, and someone is always out. AI can match requests to open slots, offer makeup options when a session is missed and send reminders. A person approves the final schedule.

Matching students to tutors

A seventh grader needs pre-algebra on Tuesdays or Thursdays with someone patient. A high school junior needs an evening chemistry slot. These are many small matches.

AI can propose options from tutor subjects and availability, and the director picks.

Missed sessions and makeups

A cancellation is a text. A makeup is five texts. Multiply by a hundred students.

AI can offer two or three makeup times at once, track which ones were taken and flag students who keep missing.

Standing slots beat one-offs

Students tend to do best on a steady weekly time, and so does a tutor’s calendar. Offer a standing slot first and treat one-off sessions as the exception. AI can propose the same time each week and warn you when a tutor is about to be overbooked or a slot sits empty.

Over a term, that also shows which hours are always full and which stay empty, so you know where a new tutor or a new class would pay off.

Examples of what it can look like in a tutoring center. Illustrations, not clients.

A student texts that she has a recital Thursday. She is offered two makeup times; she picks one and the tutor is told.

A new family wants geometry twice a week. Three tutor and time options go to the director.

A tutor leaves mid-term. Their students are listed with possible replacements.
