Catering booking and event scheduling with AI

Caterers book dates they cannot give back: two weddings on one Saturday means two crews, two sets of rentals and one stretched kitchen. AI can check availability against staff and capacity, hold dates while a proposal is open, and schedule tastings. A person confirms every booking.

Hold dates without losing them

When a proposal is out, the date is half-promised. A system can hold it for a set number of days and release it if no deposit arrives, so you know which Saturdays are really open.

Remember travel time. A morning event across the county and an afternoon one in the city may both fit the calendar and still not fit the day.

Capacity is people, not just a calendar

An open date is not much use if you have no servers for it. Tracking your staff, vehicles and equipment against each event shows where you are stretched before a client is told yes.

Tastings and walk-throughs

A booking page for tastings and venue walk-throughs, with a reminder and a short form about the event, keeps those visits useful.

Set a cut-off for changes as well. After a certain date, menu and headcount changes need your approval, which the system can enforce.

Two events are requested for the same Saturday. The system shows you have enough cooks but not enough servers, and flags it before you reply.

A date is held for a corporate holiday party for seven days, then released automatically.

A couple books a tasting for Thursday at 5 and gets the details of what to expect.

Questions

Does it handle rentals?

It can track what you need, such as chafing dishes and linens. You still place the orders.

What about last-minute changes?

It updates the event sheet and notifies you so the kitchen sees the change.

Can it stop double bookings?

It can warn you when a new request clashes with your calendar or your staff limits. A person decides what to do.
