Follow up on bakery cake inquiries with AI

A bakery’s follow-up is mostly four moments: the quote nobody answered, the deposit not yet paid, the pickup reminder, and the thank-you after the party. AI can track where each custom order stands and draft the next message so none of them slip. You approve what is sent.

The quiet quote

You sent a price for a three-tier cake, and silence followed. Two days later is the time to ask whether they have questions. The system flags it and drafts a friendly line mentioning the date they gave you.

Deposits and dates

A cake with no deposit is not booked. A reminder that says the date is held until Thursday gives the customer a reason to act and protects your calendar from a ghost order.

Remember the yearly cake

A customer who ordered a first-birthday cake in May will probably want a second-birthday cake next May. A note three weeks ahead, that names last year’s flavor, is a gift to both sides.

Keep a record of who said no. If a customer chose another bakery or cancelled, the system should stop writing to them about that order.

Picture this

Examples of what it can look like in a bakery. Illustrations, not clients.

A quote for a 40-serving graduation cake has sat for three days. A draft appears: “Just checking whether you want me to hold June 14.”

The evening before pickup, the customer receives a reminder with the time and your address.

In April, last spring’s wedding-shower customer gets a note about baby showers and Mother’s Day boxes.

Questions

Is that too pushy?

One or two polite check-ins are expected. Customers book several bakers at once.

Can it take deposits?

It can send a payment link you control. The money goes to your account.

Is a text better than an email?

For a pickup reminder, text is handy if the customer agreed to receive them. For quotes and details, email is better, since people can read them again.
