Client follow up for law firms with AI

Law firm follow up covers three groups: prospects who had a consult but have not signed, clients waiting to hear about their matter, and clients who owe documents. AI can draft each message from the file and send reminders, and an attorney or paralegal approves anything sensitive.

After the consult

Many people leave a consult unsure. A short follow up that recaps next steps, includes the engagement letter and answers common questions often decides whether they hire the firm.

Keep the tone helpful and never pressure. Limit reminders to a couple.

During the matter

Clients often feel left in the dark. A regular update drafted from file notes, even when the news is “we are waiting on the court,” cuts the calls to the front desk.

Requests for missing documents can be sent with a plain list and a deadline.

Closing letters and check-ins

When a matter ends, a closing letter explaining what was done and what to keep is good practice. A check-in months later, or a note when a law changes that affects the client, keeps the relationship warm and can lead to referrals.

Examples of what it can look like in a law firm. Illustrations, not clients.

A prospect met with an attorney on Tuesday. On Thursday a note arrives with the engagement letter and a plain list of next steps.

A client has not sent the signed forms. A reminder lists what is missing and how to upload it securely.

A matter goes quiet for weeks. A draft status email appears for the attorney to review.

Questions

Can messages include case details?

Only through channels you have judged secure. Many firms use a client portal and send a short notice by email instead.

Who approves the messages?

The responsible attorney or staff member. Nothing is sent without that approval for anything about a matter.

What about conflicts of interest?

Follow up should never go to anyone the firm is adverse to. Keep your client and contact lists accurate to avoid mistakes.
