AI receptionist for law firms

A law firm’s phone problem is that calls come in when attorneys are in court or with a client. An AI receptionist answers, collects intake facts, notes the opposing party for a conflict check, flags anything urgent, and hands the summary to a person. It does not give legal advice.

What it collects

Name, contact details, the type of matter, who is on the other side, any deadlines or court dates, and how they found the firm. A short, consistent format saves the attorney from piecing it together.

It should say at the start that it is an automated assistant and that sharing information does not create an attorney-client relationship.

What it must not do

It should never tell a caller what their rights are or whether they have a case. It can say the firm will review and respond.

Anything urgent, such as an arrest, a restraining order or an imminent deadline, goes to a human right away.

Set the tone

People calling a law firm are often anxious. The assistant should be warm and brief, avoid legal jargon, and tell callers what happens next and when. A caller who knows an attorney will call back by a stated time is more patient than one who hears nothing.

Picture this

Examples of what it can look like in a law firm. Illustrations, not clients.

A caller says they were served with court papers and have a date coming up. The assistant records the date and sends an urgent alert to the duty attorney.

A person asks if the firm handles trademark work. The assistant answers from the firm’s list of practice areas and offers to take their details.

A caller names the other party in a dispute. The name goes on the intake summary for the conflict check.

Questions

Is the call recording a problem?

Recording and consent laws vary by state, so check yours and say so clearly at the start of the call.

What if the caller is in crisis?

The setup should include a clear script that directs people to emergency services or a human and flags the call at once.

Can it screen out bad leads?

It can ask matter type and location and note whether you handle them. A person should decide on declining, since a polite referral is part of good practice.
