AI receptionist for immigration law offices

Immigration practices get calls in many languages, often from frightened people, and often when staff are with clients. An AI receptionist can answer in the languages you support, collect the basics and flag urgent matters, such as a detention or a court date, for an immediate callback. It does not give legal advice.

Calm, clear and in the right language

The assistant should say it is automated, speak simply and let the caller switch languages. Staff who speak those languages should review the scripts first.

It collects name, contact details, the type of matter, any upcoming dates and the best way to reach the person safely.

Urgent means a person

If someone says a family member was detained, or a hearing is soon, the call is flagged and routed to an attorney or on-call staff immediately.

It should never tell a caller what their status is, what will happen or whether to attend an appointment.

Set expectations on the first call

The assistant can explain that the office will review, call back and discuss fees at the consult. Saying that early keeps callers from expecting advice and helps them know what to prepare.

Picture this

Examples of what it can look like in a immigration law practice. Illustrations, not clients.

A caller says their brother was detained this morning. The assistant gathers the name and location and alerts the on-call attorney.

Someone asks if the office does asylum cases. The assistant answers from your list of services and offers to book a consult.

A caller asks in another language. The assistant switches and records the summary in English for staff.

Questions

Can callers be afraid to share information?

Yes. The assistant should say what it collects, why, and that the information goes to the office only.

Does it handle calls in every language?

Only the ones you have chosen and checked. Anything else goes to a person.

Does it handle after-hours calls?

Yes, and it flags urgent ones for the on-call attorney so they are not left until morning.
