A custom CRM with AI, built around how you work

Answers · CRM and email

A custom CRM with AI is a client system built around the way your business actually runs, with an AI that reads the email so nobody has to type it in. Westward builds these: one page per client, a short brief and to-do list kept current from their email, and drafted replies. Nothing sends until you press Send.

What a custom CRM is

A CRM is the place you keep what you know about your clients. For many owners that place is an inbox, a few spreadsheets and their own memory.

A custom one holds the fields and steps you actually use, not the ones a software company picked for everyone. Ready-made tools are fine for many businesses. Custom starts to make sense when your work does not fit their boxes.

What the AI part does

Westward runs its own client work on a custom AI CRM. Every morning it reads each client’s emails and updates a short brief, a to-do list and the deal: what was agreed, the price, the date and the next step.

Anything the AI wrote carries a ◇ mark, and the original email is one click away, so you can check it. The system also has a full inbox with saved replies and drafts, plus invoices, client requests and a private page for each client.

What it could look like

These are examples, not clients. A client emails “can we move Friday to Monday?” The system adds it to their to-do list and drafts a reply. An agreement goes out by email with a price, and the system records the price and the date without anyone typing them in. A new lead fills in a form and lands on your leads list with their message, ready for a reply.

When not to build one

If you have a handful of clients and a spreadsheet works, keep the spreadsheet. A custom system takes a month of building, and it only pays off if the work really repeats.

We also have no time-saved number to quote for our own CRM yet. We would rather measure it with you during the audit than guess. If AI will not help with your job, we tell you before you spend anything on a build.

How it starts

It starts with a free 30-minute call with the founder. A first build takes about a month, and it runs on your own accounts, so the logins and passwords stay yours. It works with Gmail and Google Workspace today.

Questions

Why not just use an off-the-shelf CRM?

Off-the-shelf tools make you fit their boxes. A custom one holds the fields and steps you actually use, and an AI reads your email so nobody has to type it in.

Can it send emails by itself?

Not unless you ask for that. By default it writes drafts and you press Send.

How do I know what the AI wrote?

Everything the AI wrote is marked with ◇, and the original email is one click away.

How is it priced?

In writing, before anything is built: a fixed price for each build and an optional monthly plan. No hourly billing.
