AI answering for coffee shops: calls, texts and DMs

A coffee shop does not get many phone calls, but it gets questions all day: hours, oat milk, can I bring my dog, can you cater Friday. An AI assistant can answer the routine ones on Instagram, text, email and the phone, and hand catering and event requests to you with the details gathered. You decide what it may say.

The questions repeat

Do you open on holidays? Is there a place to sit? Do you have decaf? Do you sell beans? A shop with one person on the espresso machine cannot stop to type these. A reply that comes in seconds is the difference between a new customer and someone who walks to the chain.

Catering and events are the money messages

When a message mentions a group, a date or “for our team,” the assistant should stop answering and collect the details: headcount, time, address, budget range, drink preferences. Then it tells you, with everything needed to send a quote.

Set the limits

Tell it which things are off limits: pricing it has not been given, allergy promises, anything about refunds. When it does not know, it should say a team member will reply.

Examples of what it can look like in a coffee shop. Illustrations, not clients.

At 6:15 a.m. someone direct-messages asking if you open early on Sunday. The assistant answers with your posted hours.

A message says “can you do 30 coffees for a meeting Friday at 9?” It asks for the address and milk needs, then hands you the full request.

The shop line goes unanswered during the rush, and the caller gets a text with hours and the catering form.

Questions

Does it need a phone line?

Not necessarily. Many shops only need it for messages and email.

Can it tell customers about allergens?

Only with exact wording you approve. Allergy questions should go to staff who know the ingredients.
